Installation and service companies must contact several hundred of customers each year to renew their services. Each appointment to be confirmed requires numerous calls, messages, return calls, negotiation of dates in addition to managing last minute requests. If these tasks are not automated, then, it can easily turn into a nightmare. All this multiple times a year! It requires one or more full-time employees!

The first step to automation

A pool installation and service company contacted us a few years ago, they wanted a personalized solution to automate pool opening and closing renewals and invoicing. We knew exactly how to solve their problem with our Qano SER application!

Customized design

We have designed a fully customized application that takes into consideration the addresses of their clients as well as their preferences, using our Qano SER database. The company can now send automated emails assigning a pre-established date according to the zone and including an acceptance button, a request for another date, or a refusal. When the date is accepted, the purchase order is automatically printed and assigned to a technician. Clients receive a reminder 1 day before the appointment and is notified 30 minutes before the technician’s arrival. Once the work is completed, an invoice with a payment link is sent. Automated reminders are sent for unpaid invoices.

Loyal customers

Customers are now used to this working method, they wait for their appointment email every year. They appreciate the new system in place and are happy to pay their bill as soon as they receive it.

The service and accounting department now have more time to manage more problematic situations and thus reduce the number of unsatisfied customers. The company now has the time and resources to grow faster.
